Pro-Worker AI Adoption Prize: privacy notice

This notice sets out how we will process your personal data, and your rights in relation to the Pro-Worker AI Adoption Prize. It is made under Articles 13 and/or 14 of the UK General Data Protection Regulation (UK GDPR).

The Prize invites the public to nominate organisations the adoption AI that benefits workers. The top 50 organisations will be shortlisted and the top 3 organisations will be selected by an expert judging panel. The objective of the prize is to increase the awareness of pro-worker AI use-cases which is reported by UK businesses as one of the top three barriers to AI adoption.

Your data

We will process the following personal data:

• full name of the person submitting the nomination
• email address of the person submitting the nomination
• name of the organisation being nominated (which may or may not be the organisation of the person submitting the nomination)
• number of employees employed by the organisation being nominate
• most relevant rector in which the organisation being nominated, operates
• nominations may be submitted by organisations, including trade unions - we do not collect or infer information about any individual’s trade union membership

Purpose

The purpose(s) for which we are processing your personal data is:

• to contact you if your nominated organization is shortlisted in the top 50 organisations for the prize
• to contact you to ask whether the nominated organisation would be open to participating in academic research based on their nomination

Legal basis of processing

The legal basis for processing your personal data under Article 6 of the UK GDPR is:

1(e)Public task: Processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the data controller. This is grounded in DSIT’s AI policy ownership mandate to drive AI adoption across the UK economy and support workers to harness the benefits of AI.

Recipients

As part of our IT infrastructure, your personal data will be stored in the UK on systems provided by our data processors - Microsoft and Amazon Web Services. This does not mean we actively share your personal data with these entities; rather, they are technical service providers who host infrastructure supporting our IT systems.

We may use Microsoft Copilot to analyse nominations during the first sift, however the top 50 shortlisted organisations will be reviewed by a government official before publication.

Retention

Your personal data may be kept by us for up to 3 years.

International transfers

Your personal data will only be processed in the UK.

Your rights

You have the right to:

• request information about how your personal data are processed, and to request a copy of that personal data.
• request that any inaccuracies in your personal data are rectified without delay.
• request that any incomplete personal data are completed, including by means of a supplementary statement.
• request that your personal data are erased if there is no longer a justification for them to be processed.
• in certain circumstances (for example, where accuracy is contested) to request that the processing of your personal data is restricted.
• object to the processing of your personal data.
• request a copy of any personal data you have provided, and for this to be provided in a structured, commonly used and machine-readable format.
